We have an exciting opportunity for a Business Support Coordinator to work with our Head of Legal - Maritime and our Throughlife Support Director. You will be a strategic partner who is responsible for providing high level, efficient and professional administrative support to ensure the smooth functioning of organisational operations.
You will lead and manage complex administrative functions, participate in business initiatives as required, and maintain effective communication with internal and external stakeholders.
This role is open to our flexible work arrangements, including options like a 9-day fortnight and hybrid work model. This opportunity is available at our Osborne Shipyard office in SA.
Key responsibilities will include:
- Providing confidential administrative support, including, but not limited to, inbox and responsive diary management, tasks and group meetings. Assist with presentation materials and collating reports. Filing, preparation, collation and distribution of documents/ correspondence
- Scheduling and co-ordinating both internal and external meetings and conferences including catering, presentation material and logistics
- Assisting in forward planning to provide relevant preparation material/ pre-brief for meetings
- Co-ordinating VIP and general visits for the line manager including logistics of meeting rooms, presentations, listening forums, site access and catering as required
- Organising domestic and international travel including flights, hotels, transfers, per diem and visit requirements for the senior leaders ensuring it is booked in line with Company policy
- Performing site administration for Team Site and intranet
- Plan business events and activities effectively in collaboration with key personnel to achieve business objectives
- Provide site administration and assist with on-boarding and induction of new staff members
- Ad-hoc tasks as required
About YOU
You'll have:
- Previous experience in a similar role in the professional services space
- Ability to contribute in a team environment, providing support to meet deliverables and adding value in a collaborative environment
- Motivated self-starter with excellent time management skills to support managing multiple competing priorities under broad direction, within tight deadlines
- Adept at building and maintaining excellent relationships with internal and external stakeholders
- Sound written and verbal communication skills
- High attention to detail and organisational and problem-solving skills
- Flexible with a lean-in approach
- Computer literacy, with intermediate knowledge of MS Suite and SharePoint. Familiarity with Oracle is desirable
